Supplier Stock & Price Update Assistant

Compare a supplier's current CSV with a current store export, inspect proposed stock and regular-price changes, and prepare an update file from rows you approve.

This is standalone browser software. Extract the ZIP and open index.html. The customer package is not installed through WordPress. It does not connect to a store, upload catalogs or automatically change products.

1. Requirements and limits

NumbersStock: whole numbers 0–1,000,000,000. Price/cost: non-negative plain decimal amounts with at most two decimal places, up to 1,000,000,000 currency units. No currency symbols, thousands separators, scientific notation or negative quantities.
Money basisBoth files must use the same currency, tax basis and units. No currency conversion, tax calculation, shipping costs or transaction-fee calculation is included.

Excel files must first be saved as CSV UTF-8. Preserve SKU columns as text before exporting: lost leading zeros cannot be reconstructed. A file over the limit is rejected in full. Do not split files casually, because duplicates across separately processed files cannot be detected.

2. Start with the included sample

  1. Extract the entire ZIP. Keep the assets directory beside index.html.
  2. Open index.html and click Load sample files.
  3. Check the suggested SKU, stock, regular-price, cost, type and sale-price mappings. Leave optional columns unmapped when they are not applicable.
  4. Click Compare files.
  5. The sample includes two eligible changed SKUs, an unchanged variation, a price-threshold issue, a sale-price conflict, a duplicate SKU, invalid stock, a supplier-only record and a store-only record.
  6. Download the audit report to inspect the line references. Sample results are illustrative; they are not customer performance claims.

3. Prepare a weekly comparison

  1. Take a fresh export from the exact store you intend to update. Include Type, SKU, Stock, Regular price and Sale price for WooCommerce.
  2. Choose the latest supplier file. Confirm that it represents available quantities and the intended selling-price or cost basis.
  3. Load both files and select the separator. Confirm every suggested mapping yourself.
  4. Choose price, stock or both. For price-only work, leave both stock mappings blank. For stock-only work, leave both selling-price mappings blank and choose the direct price rule.
  5. Choose the decimal format shared by both files. Comma decimals must use an appropriate separator, such as semicolon.
  6. Set rules, then compare. Inspect Review, Supplier only and Store only rows separately.

Mapping a column does not establish its meaning. For example, a supplier cost is not automatically a selling price, and “availability status” is not a numerical stock quantity.

4. Pro pricing and buffer rules

Amounts round to two decimal places. Zero proposed prices and a changed price with a zero current baseline are held for review. Existing sale prices are never exported or changed; map Sale price to flag an invalid sale price or one greater than or equal to the proposed regular price. Scheduled-sale behavior is outside this tool's scope.

5. Understand the results

ReviewBlank/duplicate SKU, invalid values, guard threshold, zero price, unsupported type or another ambiguous condition. The whole row is excluded from update exports, even if only one field has an issue.
UnchangedOnly the mapped stock and price values match. This does not certify the complete product or catalog.
Supplier onlyThe supplier SKU has no store match. The tool does not create new products.
Store onlyThe SKU is absent from the supplier file. It stays unchanged. The tool never assumes absence means out of stock.

Duplicates are grouped into one review finding per SKU, with every relevant physical source line shown in the notes. Blank SKU rows are reported individually. Line references indicate the starting physical CSV line; multiline quoted cells can make these different from spreadsheet row numbers.

6. Export approved WooCommerce updates — Pro

Use a backup and a small staging import first. A store can change between export and import because of sales, stock adjustments or another sync. Refresh the export and recompare if the data is stale. This tool does not reserve inventory or lock the store.
  1. Set the output target to WooCommerce. Map the store Type column. Only existing simple and variation rows are eligible.
  2. For stock updates, the store must already use numeric, independently managed stock. Blank quantities, inherited parent stock and variable-product parents are held for review. The tool does not allocate inventory across locations.
  3. Select specific Changed rows. “Select all eligible” selects all eligible rows across every page and filter; it is not limited to the displayed page.
  4. Tick the review acknowledgement.
  5. Download the price updates and/or stock updates. Each is a separate CSV containing only SKU and the changed field. This avoids empty cells clearing unrelated stock or price values.
  6. In WooCommerce, go to Products → All Products → Import, upload one update CSV, and tick Update existing products.
  7. For the price file, map only SKU and Regular price. For the stock file, map only SKU and Stock. Ignore other fields. Use the exact source store and confirm the matches.
  8. Run a small staging batch and inspect product prices, variation prices, stock management, stock status and backorder behavior. Then import the approved remainder.
  9. Review the import log, make a fresh store export and verify that the intended rows changed.

Numeric Stock imports use WooCommerce's stock-management behavior. This application does not update backorder policies, stock-status policies, prices on scheduled sales or extension-specific metadata. It supplies no Type/Parent/attribute columns that would create new variations. Do not use these CSVs as Shopify or other-platform import files. Choose Generic output for a reviewed comparison report and prepare the required platform format separately.

SKUs starting with =, +, - or @, or containing control characters, are held out of update exports to reduce spreadsheet-formula risks without changing identifiers. Audit reports add a protective apostrophe to formula-like text and are for human review, not import.

7. Mapping profiles, privacy and reset

Pro can save a small JSON file containing column names and rules. It does not include catalog rows. Load both current files before applying a profile; columns absent from the files are rejected. Confirm the rules after loading a profile. New file, mapping or rule changes invalidate the previous result and selection so an outdated update cannot be exported.

The application has no analytics, remote libraries, licensing calls, account login, server processing or automatic catalog upload. Comparison data stays in browser memory. Clear session or close the application to discard it. Downloaded reports and mapping profiles remain on your device. The browser may retain file-picker history. Pro is supplied as a one-time download for this version. No subscription or online activation is required. Your downloaded application does not expire. Initial WooCommerce download access may have its own limit/expiry stated at checkout; keep a backup of your purchased ZIP. No lifetime support or future-version entitlement is promised. Refer to the included license and the store's terms.
